Loads of contracts

In Norway alone, Moestue sells thousands of different products from hundreds of manufacturers all over the world. This is accomplished with complex purchasing and sales processes, which include numerous agreements with subcontractors and customers - signed by many of the group's employees. In addition, there are key agreements for, banking, property rent, software and everything else that comes with running a large group.

When Geir Inge Gjørva started as CFO four years ago, the agreements were stored on servers in various folders. The routines for how agreements were stored could vary - from company to company and between departments. Access control was limited, and it was difficult to follow up agreements properly. Agreements could expire without being followed up.

Automated follow-up

"We, like many other companies, have hectic days where much of the focus is on product development, product availability and serving our customers. Sometimes we must prioritize other activities than following up and managing agreements. I was keen to digitalize contract management and create an efficient, automated follow-up with robust routines. This included something as practical as making sure the right person is notified when a contract needed follow-up," says Gjørva.

- How was the process?

“We defined a clear contract management process. This included, among other things, how agreements are to be submitted, registered and escalated. Then we mapped the agreements to our organisation structure and defined employee roles. This provides a sensible structure that makes it easier to track contracts.

"We are very pleased that the contracts are now captured on time and that we always have full control and a good overview of content, obligations and those responsible," concludes Gjørva.
