Contract Management is critical for the Danish hotel chain Comwell. Rapid growth demands central control to secure better terms, lower costs, and automatic reminders of termination dates.
By adopting Complete Control, Comwell is building an efficient, central system covering everything from notice periods to compliance. The result: fewer missed deadlines, stronger negotiating power, and a more professional profile across the company.
Comwell Hotels is a Danish‑owned chain with distinctive hotels and venues throughout Denmark. With 55 years of experience, it specialises in accommodation and in hosting high‑value meetings and conferences.
The hotels are in some of Denmark’s most attractive locations—close to cities, beautiful landscapes, fjords, bays, and public transport. Though Comwell’s common values are built into every square metre, each property keeps its own unique character.
Today Comwell is more ambitious than ever about digitalisation:
“Comwell is known for taking new paths, and we aim to remain a leader in the hotel sector,” says Head of Legal & Compliance, Julie Marie Baggesen.
“That is why we created a dedicated Legal & Compliance team. Our goal is to think strategically and ensure professional, scalable contract handling so we can focus on business development and give guests and employees peace of mind.”
The team consists of Baggesen and Kinga Gawron, Legal Advisor & Contract Manager. Gawron, a business‑law graduate, started at Comwell as a student assistant and later became a full‑time employee. She led the roll‑out of House of Control’s software:
“I wrote my master’s thesis on contract management with Comwell and saw we needed a more data‑driven overview of our contracts."
Comwell now manages about 1,500 contracts in Complete Control, 720 of them supplier agreements. Before Complete Control it was hard to know the exact number of contracts. Without a shared system it was easy to lose track—especially during staff changes or when a key deadline approached:
“Contracts used to sit on a shared server, in binders, or locally at each hotel. There was no standard procedure, and that could cost us through overlaps or missed termination dates,” Gawron explains.
“Complete Control now shows us exactly when contracts must be renegotiated, renewed, or terminated. It links the individual hotels with central management, making it easier to keep a consistent, efficient standard.”
A professional contract management solution also signals to the whole organisation that Comwell is serious about quality and progress.
Comwell has a strong brand in Denmark and will keep expanding, with a new hotel in Lyngby in 2027 and 200 extra rooms in Aarhus. A solid digital strategy is essential for this growth:
“Digitalisation is a core priority and a prerequisite for our ambitions. Complete Control lets us manage a large contract portfolio and maintain strong cost control,” Baggesen notes.
She also values House of Control as a partner in ESG (Environmental, Social & Governance):
“We work systematically with ESG, and House of Control offers features that support compliance and documentation. When we fully adopt its ESG module, reporting will be far easier.”
To handle so many contracts, centralisation is vital—a feature Gawron especially appreciates:
“The platform is very user‑friendly, and everything is in one place. That was decisive for choosing House of Control. The search tool, the inbox‑forwarding function, and the option to export data to Excel make the work much smoother.”
Comwell first contacted House of Control through a former CFO, but the partnership grew when Baggesen and Gawron took over:
“We have always met great responsiveness, even when we called at odd hours,” says Baggesen.
“There have been team changes, yet House of Control has stayed flexible, re‑introducing features and ensuring we always get the full benefit of the system.”
Comwell now has complete oversight of every contract. This allows early planning of renegotiations, renewals, and terminations—avoiding unpleasant surprises:
“The solution shows where we can save money and where we can improve. It fits perfectly with our strategy to present Comwell as a state‑of‑the‑art hotel chain,” Baggesen concludes.
